What to Expect For Your Virtual Visit

Welcome to your upcoming telemedicine visit! We’re here to ensure your virtual care is as seamless as possible. Please read through these important instructions and reminders to prepare for your appointment.

1. Confirm Your Appointment:

  • You will receive an email or text before your appointment asking for confirmation. Please confirm your appointment before the scheduled date. This helps us stay organized and ensures we are fully prepared for your visit.

2. Complete Pre-Registration Forms:

  • Please ensure that you complete all pre-registration and intake forms before your appointment. This step is crucial, as it allows your provider to review your medical history in advance, ensuring they are fully prepared to address your concerns during your visit. For new patients, this process may take up to 20 minutes. By filling out these forms ahead of time, you help us use your appointment time effectively, focusing on the issues that matter most to you.

3. Download Zoom:

  • Please make sure to download the Zoom app on your smartphone, tablet, or computer before the appointment. This will help ensure a smooth check-in process.

4. Look Out for Your Check-In Message:

  • You will receive a telehealth check-in message with your Zoom link 10 minutes before your scheduled visit. This link can only be used once, so please log in when you are ready to begin. We recommend starting the check-in process a few minutes early to ensure you join your appointment on time.
  • A second link will also be sent by one of our telehealth representatives in case there are any issues with the first link.

5. Zoom Link Instructions:

  • Click the Zoom Link
    • Open the email or text message where the Zoom link is provided and click on the link.
  • Open Zoom:
    • If Zoom is installed, clicking the link will automatically launch the app.
    • If Zoom is not installed, your browser will prompt you to download and install it. Follow the on-screen instructions to complete the installation.
  • Join the Meeting:
    • When prompted, click “Open Zoom” on a computer or “Join Meeting” on mobile.
    • The provider will admit you into the appointment once you’re in the Zoom waiting room.
  • Enable or Disable Audio/Video:
    • Upon joining, select “Join with Computer Audio” or “Join Audio” on mobile.
    • Use the buttons at the bottom to mute/unmute and start/stop video (please turn video on).
  • Troubleshooting:
    • Make sure your internet connection is stable.
    • If the Zoom application doesn’t open, try joining through the web browser by selecting the “Join from your browser” option (if available).

6. Be On Time:

  • Kindly log in promptly, as this helps us stay on schedule and provide the best care for all our patients. Your punctuality is greatly appreciated.

7. Choose a Quiet, Private Space:

  • Ensure you’re in a quiet, safe space where you can turn your camera on. The camera must be on for the appointment to take place, as it helps create a more personal and effective experience.

8. Insurance Information:

  • Most major medical insurance plans include coverage for virtual visits. If you have any questions about your specific coverage, please contact your local Diana Health practice.

Note: Tennessee patients must be physically in Tennessee during the telehealth appointment for insurance coverage.

9. During Your Visit:

  • Your provider will focus on addressing your primary concerns during your telemedicine visit and work with you to set up any necessary follow-up appointments. While we may not cover every question or concern in one session, we are committed to providing you with ongoing support and care. Telehealth is a great starting point, and if further discussion or an in-person visit is needed, we’ll create a follow-up plan together to ensure you receive the best possible care.

10. After Your Appointment:

  • If follow-up care or lab work is needed, our team will contact you to schedule your next appointments and guide you through the next steps, providing support every step of the way.

Reminder: If you have any questions before your visit, please feel free to contact us by calling your local Diana Health clinic or messaging us through the Diana Health app. We’re here to make sure you feel prepared and confident for your telehealth appointment.
